Urgent Advisory: Microsoft 365 Storage Policy Changes & Read-Only Risks

What is happening?

As of October 2026, Microsoft has begun strictly enforcing storage limit policies across SharePoint Online and OneDrive for Business. Tenants that previously exceeded their total licensed limits without penalty, or were relying on legacy “unlimited” configurations, are now being shifted into a Read-Only state as Microsoft actively clamps down on over-quota usage.

Who is impacted?

SharePoint Sites: Any organisation where a site exceeds its manually assigned site quota or the tenant’s total data volume exceeds the base license pool.
(1 TB + 10 GB per licensed user)

OneDrive Accounts: Organisations utilising legacy, expanded, or “unlimited” allocations beyond the standard limits.

What a “Read-Only” State Means for Your Business

If a site or user account hits the strict cap, Microsoft automatically locks editing capabilities.

  • What you CAN do: View, open, download, and delete existing files.
  • What you CANNOT do: Upload new files, edit existing documents, or sync updates via the OneDrive/SharePoint desktop app. Microsoft teams sites can also be affected.
  • The Risk: Collaborative workflows, automated cloud backups, and shared team folders will halt instantly if a lock is triggered.

How We Are Managing This For You

As your technology partner, we are proactively auditing your environments to prevent unexpected operational downtime.

Our team is executing the following measures:

1. Storage Auditing & Alerts

We are monitoring tenant wide consumption levels. If any of your SharePoint sites or user accounts are approaching 90% capacity, our helpdesk will flag it to your primary contact immediately.

2. Deep Clean Optimisation

Before recommending additional monthly spend, we will help you identify and safely purge hidden data drains, including:

  • Version History Bloat: Hidden, redundant copies of large files modified over time.
  • Abandoned Sites & Teams: Inactive Microsoft Teams channels that are silently hoarding data.
  • Preservation Holds: Outdated compliance policies keeping deleted data alive.

3. Implementing Tiered Archiving

For data that must be kept for compliance but isn’t used daily, we can implement cost-effective cold storage solutions or Microsoft 365 Archiving. This moves the data out of your active, high-cost SharePoint quota while keeping it searchable.

Remedy Options: Restoring Write Access

If your business genuinely requires more active cloud storage, we can deploy two official remediation paths:

Option 1: Microsoft 365 Extra File Storage Add-ons

Fixed, predictable monthly budget increases (purchased in 100 GB blocks). This increase can take 24 to 48 hours for Microsoft’s backend to process and clear a site lock once assigned.

Option 2: Pay-As-You-Go Azure Storage

Elastic, fluctuating storage needs linked directly to your cloud billing. Faster allocation but this requires an active Azure subscription link.

Next Steps for Your Team

  1. Assign a Data Owner: Nominate an internal point of contact who can make decisions on what historical data can be deleted or archived.
  1. Review Large File Policies: Advise your team to avoid using SharePoint/OneDrive as a repository for massive, non-business video files or raw local backups.
  1. Expect Our Outreach: If your tenant is identified as “At Risk,” our technical account manager will be reaching out with a tailored cleanup or expansion strategy.
